Who we are
Marvin & Gary, Eastern Kentucky. This page covers the nomination form on marvinandgary.com.
What we collect
When you nominate a business, we save:
- The business name you typed.
- The town, if you gave one.
- The category you chose, if any.
- Your reason for nominating them, if you wrote one.
- Your email address.
- When you sent the nomination.
- A one-way scrambled code (a hash) made from your internet connection's address. We cannot turn it back into the address. We use it only to stop one connection from sending too many nominations in an hour, and we do not store the address itself.
- The first 200 characters of your browser's user-agent text, which names your browser and device type.
Why we collect it
- To follow up with you about the business you nominated.
- To tell you when a Partner Team is forming near you.
What we do not do
- We never sell your email address.
- We never share your email address with anyone outside our team and the services that run this site (listed below).
- We do not tell the business you nominated who named them.
Your nomination is stored with our website host, Cloudflare, which keeps it for us. It is used only to run this site.
If we have team alerts switched on, a copy of each nomination, including the email address, is also posted to our private Slack or Discord channel so we can follow up faster. Deleting a nomination from our database does not remove that chat message, so we delete it there too when you ask.
If you choose the thank-you
If you check the thank-you box on the form, we also save that you opted in, the cause you chose, the version of the thank-you terms you agreed to, and a random code (nomination_code) we use to match the business if it joins.
We never send this to the business, and it is not included in our team alerts (Slack or Discord).
If a business you nominate does not join, we delete your nomination details, including your email address and the reason you gave, within 12 months. If a business joins and we make a donation in your name, we keep the donation record (the date, amount, and cause) for 7 years to meet tax and accounting rules, and we remove your contact details from that record once we no longer need them to send your thank-you note.
How long we keep it
If the business you nominate does not join, we delete your nomination within 12 months, as described above. You can ask us to delete it sooner at any time.
